This privacy policy sets out how the Academy of Solution Focused Training uses and protects any information that you give the Academy of Solution Focused Training in connection with delivery of our services.

The Academy of Solution Focused Training is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified when using our services, we confirm that it will only be used in accordance with this privacy policy.

The Academy of Solution Focused Training may change this policy from time to time by updating this page. You should check this page from time to time to ensure that you are happy with any changes. This policy is effective from 01 January 2023.

What we collect

We may collect the following information:

name and job title

contact information including email address, mailing address & phone number

What we do with the information we gather

We require this information to provide you with any services you have requested from us. Under no circumstances will this information ever be disclosed or transmitted to a third party.

Security

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.

How we use cookies

A cookie is a small file which asks permission to be placed on your computer’s hard drive. Once you agree, the file is added and the cookie helps analyse web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual. The web application can tailor its operations to your needs, likes and dislikes by gathering and remembering information about your preferences.

We use traffic log cookies to identify which pages are being used. This helps us analyse data about website traffic and improve our website in order to tailor it to customer needs. We only use this information for statistical analysis purposes.

Overall, cookies help us provide you with a better website by enabling us to monitor which pages you find useful and which you do not. A cookie in no way gives us access to your computer or any information about you.

Controlling your personal information

You may request details of personal information which we hold about you under the EU General Data Protection Regulation (GDPR). If you would like a copy of the information held on you please write to debbiehogan@sf-academy.com

If you believe that any information we are holding on you is incorrect or incomplete, please email us as soon as possible at the above address. We will promptly correct any information found to be incorrect.

Recording sessions

We record sessions of our classes on zoom and make them available to the other participants and trainers in the class. By booking a class with us you agree that we can record the sessions and make them available to the other participants in the class and to the trainers at Academy of Solution Focused Training.  In no case will we make the recordings available to anyone else. By booking a class with us, you also confirm that you will not share any of the recordings outside the group of participants of the particular class.

Mentoring recordings

When you submit coaching recordings to a mentor or to a class of participants, you hereby assure that you have the necessary permissions for the client and that the Academy of Solution Focused Training may use the recording for the purposes of mentoring. Academy of Solution Focused Training will never share recordings of your coaching outside the company, unless requested by ICF for program accreditation or renewal, upon which, you will be notified.

General Policy Statements

As an ICF Accredited provider, our organization adheres to and emphasizes the International Coaching Federation Code of Ethics. The ICF Code of ethics describes the ICF core values, ethical principles, and standards of behavior for all ICF professionals. Additionally, the Academy of Solution Focused Training commits to acting with integrity and transparency. We hold ourselves and our participants to the highest level of integrity and strive to be as transparent as possible by explicitly stating measures being taken to provide programs in an ethical manner. We do not believe in using manipulative or dishonest sales tactics and strive to provide a safe and ethical sales process. Further, we work to provide fair and equitable pricing for all programs to ensure access and quality of coaching.

In order to provide you with the minimum required training hours for certification, it is important that you are present at all course meetings. If you have an emergency or become ill and are not able to attend a coaching session, please contact your instructor and Debbie Hogan, Program Director immediately at debbiehogan@sf-academy.com

Participants are expected to attend 85% of the classes in person. If you need to miss more than 15% of the classes, you may attend this portion of the class in another cohort to make up for the lessons missed.

In case of longer absences due to illness or other unforeseen events, refer to our partial completion policy.

ASFT will accept partial credit from other organizations or programs 

If you have completed a Level 1 program at another organization, we will apply your completed credit hours to your Level 2 program. You must provide documentation of your Level 1 completion, including the organization, number of hours completed, completion certificate, and contact information for the organization or trainer. You may be asked for additional details or documentation on an as-needed basis. The request will be reviewed and recommendations made to the individual, on a case-by-case situation, so as to provide the best learning and training that fits the individual situation.

The Academy of Solution Focused Training (ASFT) will offer credit for partial completion of a course for health reasons or other reasons outside the  participant’s control. The number of hours awarded will depend on the number of hours of curriculum received. If you are interested in receiving partial credit for a course in which you are currently or were previously enrolled, please contact Debbie Hogan, Program Director, at debbiehogan@sf-academy.com. Please include details about the course in which you were enrolled, the number of credit hours you are seeking, and any additional relevant information. The Program Director will review based on a case-by-case situation, in order to offer a fair and equitable decision. If approved, you will receive a certificate of credit from ASFT, indicating the number of training hours completed. 

Partial completion policy

  • The participant will receive a certificate for the hours completed.
  • We will aim at allowing the participant to continue the course at a later time without additional payment. This will be possible if we have the same course running and a free space on the program.

Success in our program requires full commitment by all participants. By enrolling in this course, participants agree to being fully present during all sessions and participate to the best of their ability. This includes arriving on time, abiding by the code of conduct, and engaging in course activities. 

Attendance

You will be expected to to make up the material for the missed session.

Petitions to this policy are considered on a case-by-case basis and must be submitted in writing to the instructor and the Academy of Solution Focused Training. 

Course Engagement 

Our courses are designed to be interactive and engaging for our participants. It is therefore an expectation that you participate in course activities, including dialogue with the course instructor and peers, mock coaching activities, and experiential learning exercises. If you are unable to participate in an activity, please inform your instructor as soon as possible. Please refer to the code of conduct for additional details. 

Code of Conduct 

Participants are expected to conduct themselves in a professional manner during all sessions. This includes, but is not limited to: 

• Arriving on time to all sessions. 

• Attending all live sessions and mentor coaching sessions. 

• Having your camera on for virtual live sessions. 

• Participating fully in all sessions and mentor coaching sessions. This includes being prepared for the session, involving yourself in discussions and activities, assuming responsibility for your learning, and contributing to the learning of others. 

• Engaging in discussions with integrity and honesty. 

• Being respectful of your fellow participants and instructors, including silencing your cell phone, not texting, and other disruptive behaviors. 

• Embracing diversity and inclusion while respecting the dignity and humanity of others. 

Aims and definitions

The objective of our Grievance Policy is to ensure that students can freely present grievances and that the Academy of Solution Focused Training can respond to and resolve those grievances in a fair and just manner. Grievances can include alleged discrimination on the basis of race, color, religion, sex, age, national origin, sexual orientation, or disability, alleged staff violation of the code of ethics, or other problems arising in the relationship between a participant and a staff member or policies of the Academy of Solution Focused Training. 

Our procedures 

  1. Informal resolution

As we are training people to become coaches, we will first attempt an informal resolution between the parties involved. We aim at resolving the issue as soon as possible and the person who is alleged to have caused the grievance is asked to respond promptly, if possible before the next official meeting (as a mentor or in class)

  1. Review

If the person who presents the grievance is not content with the result of the informal resolution, they are asked to present the issue to the Program Director who will ask for a meeting of the involved parties to come to an equitable resolution.

 It is the policy of the Academy of Solution Focused Training (ASFT) that: 

• Recruitment and hiring of all personnel is conducted without discrimination against any individual with regard to race, age, religion, color, creed, national origin, gender, sexual orientation, gender identity, marital status, disability, or veteran status. 

• All staff and personnel will not discriminate against any employee or participant because of race, age, religion, color, creed, national origin, gender, sexual orientation, gender identity, marital status, disability, or veteran status. 

• All individuals are welcome to participate regardless of race, age, religion, color, creed, national origin, gender, sexual orientation, gender identity, marital status, disability, or veteran status. 

• All employees, students, and other participants should be able to enjoy an environment free of discrimination and harassment. Participants who wish to report discrimination are encouraged to follow the Grievance Policy attached to this document and the ASFT will promptly investigate all claims and reports of inappropriate conduct.

Payment and Fees Policies

Payment & Fees

The course can be paid in installments. The entire training fee needs to be paid in full by the end of the program without any deductions.  Your registration is dependent upon full receipt of payment. We accept payment by local bank transfer, PayPal and Wise. All payments will be in Singapore currency unless the trainers and participants are US based. The student is responsible for any bank transfer fees.

Refund Policy

Cancellation is possible without charge up to 4 weeks prior to the first session. If you cancel 2 weeks before the first session, 50% of the course fees need to be paid and after 1 week prior to the first session, the whole fee must be paid. If the participant can nominate a fully paying replacement participant, the fee will be waived.

Written notice of cancellation shall be effective on the date the withdrawal is received by the Academy of Solution Focused Training (ASFT). 

Registration Modifications 

Modifications to registrations, including substitutions of participants or transfer of course dates, must be completed at least 30 days before the program start date. Participants may Debbie Hogan, Program Director, to modify their registration at debbiehogan@sf-academy.com

Course changes will be allowed as long as there are spots available. Deferment of a course by an individual or organisation can be made, subject to approval by the ASFT, and limited to one deferment per participant. After which, the individual or organisation forfeits the course fees. 

Changing Dates

The training provider can cancel the program or change the dates if there are less than 6 participants or for other reasons which are out of the control of the training provider. The participant will be notified as early as possible. The training provider reserves the right to make changes in dates, platform, trainers etc. Participants will be notified as early as possible.

Guarantee

In case of a cancellation by the training provider any fees already paid will be reimbursed. Any and all other claims or demands are excluded. We accept no liability for consequential or secondary financial losses, property damages or any other damages.

Data Protection

We will use the participants‘ personal data exclusively for running the program and will keep all information confidential.

Information

Participants can receive free information on which data we have saved about them and we will delete any data upon their request as early as we can. A written request either to debbiehogan@sf-academy.com or via letter is necessary.

Using your data

Your data is protected under the terms of the 2018 EU General Data Protection Regulation based on our privacy policy.

Severability Clause

Should individual terms of this contract be ineffective or lose their effectiveness due to later circumstances or should a loophole emerge in this contract, the legal effectiveness of the other provisions is not affected. The invalid contractual provision shall be replaced or the loophole filled by an appropriate provision which comes as close as possible to what the parties to the considered would have wanted, had they considered the point.
